I found that sending email to lists did not work last year, instead creating a placeholder slide for each project or committee and then adding a comment assigned to the appropriate officer worked well.

That way if any committee or project does not participate it is really obvious in the final slide deck.

https://docs.google.com/presentation/d/1imiG7x09ry7lGvmS15FCVq2Z7yaICY00fcpXBK27TXY/edit#slide=id.p4

I also prepared the wiki page with general information
https://wiki.osgeo.org/wiki/Annual_General_Meeting_2019

The AGM 2018 is saved here:
https://docs.google.com/presentation/d/1pjuEjUrqlqKwxOkMds0haSYMho3BRt6jcuQlNboTwTc/edit#slide=id.p4

I also updated the email text to the projects which will go to
projects at lists.osgeo.org<mailto:projects at lists.osgeo.org>
https://wiki.osgeo.org/wiki/Talk:Annual_General_Meeting_2018

Maybe we should send a similar text to discuss@ and local-chapters
mailing list.
