Jeroen, I'm answering on the list so maybe somebody else who wants to
chime in on the topic can do so too. What I did after Tartu 2024 was to
write a conclusion on the wiki [2] but mainly this touched budgeting and
some of the things the Tartu LOC felt iffy about (e.g
registration/capacity issues, discusses lunching). I would suggest Marko
to write down something on the topics he feels that should be thought
about, or what he feels that are important to keep in mind.
I cannot find it know but I think I have seen other lessons learnt docs
on the wiki too. But rather as an all-encompassing long descriptive
text, maybe we should instead start a location-independent checklist (if
there is none?) which could help future organizers understand better
what things (and when) need to be done, and their priorities: e.g. what
are tasks that need to be accomplished half a year before, what work
should start then. And leading this up to the very conf days like "check
that PCs and projectors are working correctly an evening before", and
other absolutely trivial things that would help to draw up e.g.
volunteer schedules.
This might be overachieving but running a 400+ participant event for the
first time can really be full of surprises :D
