Andrew Ross has suggested using his expertise with ePresense and 
videoing conferences.

This is something I'd be really keen to see go ahead, however the 
conference has a very tight budget and consequently we will need to find

a way to cover hardware costs, and find volunteers to remove all labour 
costs.

Andrew, why don't you suggest your thoughts so far.
