In regards to the sponsor process, I'd say it's the way to go for now until a more firm process is approved. On that note, let's apply it and hope I'm not embarrassing myself by going about this wrong.

Money for booth space; two registrations are included, but in my case my work is willing to spring for my registration, so I can reimburse that to you, or you can send two others you may know of in the area; preferably people who use OS differently than I do to have a diversity of use cases. I do more cartography and basic analysis, But if we had an analyst, a developer, or a field operator, these would also find interested counterparts at this conference.
Included in your exhibit fee:
   
   - One 8’ x 10’ display area (or similar size) with   

   - 6’ L x 2’ W x 30” H skirted table and 2 folding chairs   

   - One 7” x 44” exhibitor ID sign   

   - Company name listed in the program   

   - Basic wi-fi   

   - No charge to attend conference sessions for up to two people


- What is the past history of this event or project?

The Ohio GIS Conference has been an annual event for over a  decade for GISers all over the state in various applications to come together to network and learn and share practices 

- What does success look like?

Gaining attention and interestPeople asking questions as to how Open Source solutions can respond to their needs.People looking for a consultant who could help with transition to OS.

  - What are the chances of having success?

I was asked for an hour-long presentation on QGIS Layouts, so I think interest is growing for cheaper, better, and more predictable ($) solutions.

  - What is the biggest obstacle to success?

Social anxiety?

I've looked for and requested attendance numbers, but none have been found. Several hundred, but probably less than 400.

Hey folks,

We have money available for grants to support events or other activities
related to local chapters and projects in the US.

What we don't have is a formal process. This is something we, the community
need to work on for the future. I would like to have this together by the
end of the year.

That said, I would like your input on an informal application process. Here
is what I think we should do:

1) Applicant needs to send email request for support with the following
information to the discussion list:

- Name of event or project that needs support
- How is their event or project supports the OSGeo.US community?
- Who is the main contact person and or organization?
- What is being requested (money/support/other)?
- What is the past history of this event or project?
- What does success look like?
  - What are the chances of having success?
  - What is the biggest obstacle to success?
- If an event
  - When is the event
  - Where is the event
  - What is the capacity of the event
  - Will there be a fee and how much is that fee?

2) From the time that email is submitted there should be a week long public
comment period on the discussion list using the thread that was started
with the email request.

3) After the public comment period is over, a vote of the board (right now
this is the Technocation board, but eventually OSGeo.US will have it's own
board) should happen within a week. The vote can be private ballet, but the
outcome should be announced on the thread with the original request on the
discussion list.

Please let me know what you think about this. I will leave the public
comment period for this open for a week then I will make this motion to the
board with updates based on the public comment to the board.

Since it came up....

I've a meeting in Knoxville TN on august the 13th that is looking for 
sponsors. We have a few stepping up but I need to cover lunch and 
parking. Last year we had 50+ turn out. There is a lot of interest in 
the meeting - so could I request sponsorship? Any amount helps. I have 
plenty of time before the meeting to no rush.
