Hence the proposal for outsourcing. 

For what it’s worth, some of the CRMs targeted at non-profit fundraising price based on the size of the contact list. Since ours is quite small, a service like DonorTools (http://www.donortools.com/) is a smart investment at a whopping $19/mo with unlimited users and up to 500 contacts.

Assuming the tool does the job, of course, that seems more than affordable, and maintenance free.
