Hi Andrew,
Good to see this pushing ahead.
A few things which hopefully should be of value:

1. http://wiki.osgeo.org/wiki/FOSS4G_Handbook Although only partly 
complete, has a number of pointers to best practice, (often useful for 
providing justification to elements of the community for the direction 
you are taking).

2. Using osgeo live at your event:
