[FOSS4G-Oceania] Icebreaker / Welcome Event

Now seems like a good time to book in the icebreaker event.

Way back when we were looking at dinner venues, John also visited The Shaw
Davey Slum which is a 13min walk from the Old Arts Building, in Carlton.

The Shaw Davey Slum has a number of function areas but their upstairs bar
area is fairly flexible as it can be roped off depending on numbers
(catering for up to 300 pax).

I put in an inquiry for 80 pax on Tuesday 20 Nov. The space is available at
a minimum spend of $1500 (no hire fees - all min spend can go toward food
and drink). Here's a picture of the space

There is a large projector screen if we require it.

They require a 25% deposit to confirm the booking.

With 80 people, we could choose a canape package from the following which
would come to a total cost of $1600:

$20 pp - SELECT 6 CANAPES + 1 GRAZERS

*Canapes*
Arancini balls with mozzarella and napoli (v)
Arancini balls with mozzarella, mushrooms, truffle oil (v)
Arancini balls with mozzarella and pumpkin (v)
Vegetarian spring rolls (v)
Mini stuffed mushrooms (v) (g) (n) (d+)
Crumbed warm tasmanian camembert served on a crouton with beetroot chutney
(v)
Crispy pork belly with pear and apple compote (g)
Wings: buffalo (g) (d+) or southern fried (d+)

*GRAZERS*
Home style cheeseburger slider (g+)
Zucchini and macadamia slider (v) (g+)
Fried chicken slider (g+)
Fish and chips in bamboo cone (g) (d)
Grass fed meat pie with tomato chutney
Popcorn chicken in bamboo cone
Polenta cubes with napoli sauce (g) (v)
Quinoa, halloumi, black rice and roasted vegetable salad in noodle box (g)
(v) (d+)

They also do fruit platters ($50 serves 50 ppl) and large bowls of wedges
($20 serves 10 ppl).

We have budgeted $3000 for this event - so the remaining ~$1400 could:
 - go on the bar tab, or
 - we could save some money here and not have a bar tab at all, or
 - we could pay for non-alcoholic drinks only.

I think we would ask people to confirm their interest in attending this
event about a month out and try to get a better idea of numbers.

The exact expenditure decisions can happen later, right now I would like to
know if there is:
 - support for the venue and that the $1500 minimum spend is reasonable

Also what should the timeslot be?
 - 6:30pm-8:30pm to give people a break after the workshops end at 5pm?
 - 5:30pm-7:30pm so that people can walk from the workshops straight away?
 - is two hours a good amount of time to allow?
