Hi all

 

We had a budget meeting this morning and a final working budget should
be circulated very soon. To achieve fair registration fees and cover the
risk of low attendance we need to secure about R1.5mil sponsorship and
exhibitor income. I believe we can do that. 

 

Magda is collating our contacts and we should have the prospectus and
contact lists for each LOC member by early next week.

 

A booking schedule for the conference centre will also be circulated
shortly. PeopleSA will then need to submit it asap to the CTICC so we
can be invoiced and pay the 10% deposit to secure the venues.

 

We also discussed the following dates. Please check if they make sense
and fit into your working group's schedule. We need to firm them up
asap:

 

- make all sponsorship and exhibitor contacts, mail prospectus, etc. -
16 November

       -seek response by mid Jan

       -if positive, seek contracts and funds by end Feb latest.

- call for workshops and labs - 16 November

      - cutoff Feb 15th

      - notification of acceptance - Feb 25th

      - inclusion in web registration package before March 1

- Call for papers - mid Jan

      -inclusion of early submitted papers on website as they arrive

      -cutoff - end April

      - online voting - first two weeks of May 

      - notification of acceptance - end May

-early bird registration opens - 1 March

      -early bird registration ends - end June

      -online registration cutoff 12 Sept

 

 I'm still waiting for your Gantt charts!
