Maybe too late to look into this, but it is possible for nonprofit orgs (eg osgeo?) to acquire cheap XP licenses from places such as TechSoup. Done this way, these licenses could be retained by osgeo (assuming the disks are wiped post-conference) for future conferences/workshops, saving some costs down the line. Cheers, -Josh
