[Board] letter of support protocol

Hey, I'm going to be putting together a request for a letter of support
from OSGeo soon for a grant.  I checked:

And will work on my email to the discuss list.  But one thing that
caught my eye is the fact that the board is meeting more on a month
schedule than a weekly schedule.  Step 3 is:

'After this 3-day review period the OSGeo board will discuss the request
at their next scheduled meeting'

That could be as long as a month away, which often wouldn't be quick
enough.  I wonder if there might be a more efficient way to handle it?
Or I guess at least mention the option that the board can decide on email?

Actually the timing should work out fine for me, I think I just need to
send it by this friday to get the timing right for the next board meeting.
